This policy explains what personal information Elite Cricket Academy and Sports Gear Pty Ltd ("Elite Cricket Academy", "we", "us") collects, why we collect it, who we share it with, and how you can access or delete it. It covers this website (elitecricketacademy.com.au) and our booking app at book.elitecricketacademy.com.au.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

Account and contact details. Name, email address, phone number, and postal or suburb details where you provide them.

Player enrolment details. When a player is enrolled in a program or session we collect the player's name and date of birth, the name and contact number of an emergency contact, and any parent or guardian consents required for participation. Date of birth is collected so we can place players in the correct age group and apply the right supervision and duty-of-care arrangements.

Health and safety information. If you choose to tell us about a medical condition, allergy or injury relevant to safe participation, we record it so our coaches can respond appropriately. Providing this is optional but helps us keep players safe.

Booking and attendance records. Sessions booked, attendance, credits, make-up sessions, prepaid session packages and membership status.

Payment information. Payments are processed by our third-party payment provider. We do not store your full card number. We retain a record of the transaction — amount, date, status and the last digits of the card where our provider supplies them — so we can manage memberships, credits and refunds.

Sign-in information. If you sign in using a third-party account such as Google, we receive your name, email address and profile picture from that provider in order to create and authenticate your account. We do not receive or store your password for that provider. We do not access your contacts, calendar, files or any other data held in that account.

Technical information. Device type, browser, IP address and pages visited, collected through cookies and analytics tools to keep the service secure and to understand how the site is used.

Why we collect it

We use personal information to take and manage bookings; to run coaching programs safely; to administer memberships, credits and session packages; to process payments and issue receipts; to contact you about a booking, a program change or a safety matter; to meet our duty of care to children in our programs; to meet our legal, insurance and record-keeping obligations; and to improve our services.

We will only send you marketing messages where you have opted in, and every marketing message includes an unsubscribe link. Operational messages about a booking you have made are not marketing and will still be sent.

Children's information

Many of our participants are under 18. Accounts are created and managed by a parent or guardian, and consents for participation are given by that parent or guardian. We collect only what we need to enrol a child safely and to contact a responsible adult. We do not use children's information for marketing.

Who we share it with

We share personal information only where it is necessary:

• Coaching staff, so they can run the session, mark attendance and respond to a medical or safety issue.

• Our booking and payment providers, to operate the booking service and process payments.

• Our hosting and IT providers, who store data on our behalf under confidentiality obligations.

• Insurers, regulators, or law enforcement, where we are required or permitted by law, or where it is necessary to address a serious safety risk.

We do not sell personal information, and we do not share it with third parties for their own marketing.

Some of our service providers may store or process data outside Australia. Where that happens we take reasonable steps to ensure the information is handled consistently with the Australian Privacy Principles.

How long we keep it

We keep booking, attendance and payment records for as long as needed to run your account and then for the period required by tax, insurance and limitation-of-liability obligations. Where a child has participated in our programs, we may retain participation and incident records for a longer period consistent with our duty-of-care and insurance requirements. When information is no longer needed we delete it or de-identify it.

Security

We use access controls, encrypted connections and reputable hosting and payment providers to protect personal information. No system is completely secure, but if a data breach occurs that is likely to cause serious harm we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

Accessing, correcting or deleting your information

You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. You can also withdraw a consent you have given, or ask us to stop sending marketing messages.

Email info@elitecricketacademy.com.au with your request. We will respond within 30 days. If you ask us to delete information, we will do so unless we are required to keep it for legal, insurance or safety reasons — and if that applies we will tell you which information we have kept and why.

If you sign in with a third-party account such as Google, you can disconnect that account at any time through that provider's own security settings, and separately ask us to delete the account we hold.

Cookies

We use cookies to keep you signed in, to remember your preferences and to measure site usage. You can block or delete cookies in your browser settings, though some parts of the site and booking app may not work properly if you do.

Complaints

If you are unhappy with how we have handled your personal information, contact us at info@elitecricketacademy.com.au and we will investigate. If you are not satisfied with our response you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We may update this policy from time to time. The current version is always available at elitecricketacademy.com.au/privacy-policy, and the "last updated" date at the top will change when we revise it.
